About the role
We are partnering with a highly prestigious, full-service law firm based in Newcastle upon Tyne to find an experienced Administrative Assistant for their nationally recognised Personal Injury team.
They are a values-driven employer that champions teamwork, professional excellence, and diversity. If you are looking to join a supportive, friendly environment where your work directly helps secure the best possible outcomes for vulnerable clients, this is the place for you.
You will be joining a specialised internal team dedicated to coordinating medical evidence and services for claimant personal injury cases. This is a vital role that ensures the smooth, timely progression of complex claims.
You will act as the linchpin between Case Handlers, medical experts, third-party providers, and clients, ensuring reports, records, and appointments are seamlessly managed.
Key Responsibilities:
- Set up, maintain, and close files on the case management system, ensuring strict adherence to GDPR and firm policies (including the secure deletion of medical data).
- Chase and process medical appointments, expert reports, and test results to strict deadlines, ensuring all documentation is accurately indexed.
- Book interpreters, arrange document translations, and manage appointments for clients requiring language support.
- Generate and process invoices linked to expert reports, enter invoice data accurately onto SAGE, and support payment checks.
- Act as a key point of contact, keeping Personal Injury Case Handlers promptly updated and answering internal and external telephone queries with the utmost professionalism.
- Scan, upload, and accurately record incoming post and electronic documents.
About You
To be successful in this role, you will need a strong administrative background, exceptional organizational skills, and a genuine passion for client care.
- You excel at managing a busy task diary, prioritising your workload, and thriving under pressure to meet strict deadlines.
- You can follow detailed instructions and work effectively without close supervision.
- You enjoy interacting with a wide variety of people and possess outstanding client care skills.
- You have a strong work ethic, are happy to cover a variety of tasks to support the team, and are willing to work outside of core hours on occasion if required.
