Job Title: Senior Personal Assistant

Location: Largely Remote (HQ in Durham, with occasional travel to office)
Reports to: CEO, CFO, HR Director
Salary: £37,100 annually + Benefits
Contract: Full-time, Permanent

Our client is a dynamic and fast-paced organisation committed to driving innovation and achieving strategic goals. We are looking for an exceptional Senior Personal Assistant to join the Leadership Team and play a key role in providing comprehensive, confidential support to senior executives whilst leading and managing a team of two Personal Assistants.

Key Responsibilities:

As a Senior Personal Assistant, you will:

  • Lead and manage two Personal Assistants, ensuring smooth operations, proper coverage and manageable workloads.

  • Provide proactive, high-level personal assistant support to the CEO, CFO, and HR Director, including calendar management, email management and reconciliation of company credit card statements.

  • Support other members of the Leadership Team as required.

  • Manage all logistics for Leadership Team meetings, Board meetings and Audit Committee meetings, including agenda creation, preparation of confidential documents and attendance to take minutes and track action points.

  • Build strong relationships across the organization, ensuring effective communication with leadership, employees and external contacts such as shareholders and training providers.

  • Coordinate internal and external meetings and events.

  • Organize travel and accommodation arrangements for senior executives.

  • Contribute to workstreams supporting business objectives and the company’s Strategic Plan.

  • Provide ad hoc support on HR projects and assist in organizing training events for the HR Director.

What We’re Looking For:

To be successful in this role, you will need:

Essential Skills and Experience:

  • Significant experience in providing high-level personal assistant support to senior executives.

  • Strong leadership skills with the ability to manage a team of PAs, ensuring effective workload distribution.

  • Expertise in managing multiple diaries, inboxes and emails.

  • Excellent written and verbal communication skills, with the ability to interact confidently at all levels.

  • Exceptional organizational skills and the ability to work under pressure in a fast-paced environment.

  • A proactive, methodical approach with the ability to anticipate needs and plan ahead.

  • High standards of confidentiality and discretion.

  • Proficiency in MS Office (Word, Excel, PowerPoint) and Outlook, with experience in OneDrive and SharePoint being an advantage.

Desirable Qualifications:

  • Experience taking minutes in board meetings.

  • Project management skills and qualifications.

  • Experience supporting multiple Directors or senior executives.
