HR Administration & Recruitment Coordinator

About the role

Are you an organised and proactive HR Administrator who loves working with systems and improving processes? We are recruiting on behalf of a well-established, values-driven business that has recently implemented a brand-new HR system, making this an exciting time for someone who enjoys using technology to drive efficiency and enhance the employee experience.

Working alongside the Head of HR and the wider central support team, you will play a vital role in delivering a high-quality HR and recruitment service that supports the organisation’s mission and puts the people they support at the centre of everything they do.

The Role

As the HR Administration & Recruitment Coordinator, you will be the first point of contact for HR and recruitment queries, while managing the full recruitment lifecycle and supporting the ongoing embedding of the new HR system.

Key Responsibilities Include:

  • Acting as the initial contact for HR and recruitment queries from staff and applicants.
  • Managing end-to-end recruitment: drafting adverts, screening candidates, coordinating interviews, issuing offers and communicating outcomes.
  • Ensuring all pre-employment checks (DBS, right to work, references, qualifications) are completed in line with CQC best practice.
  • Supporting the Bank Staff Manager with the recruitment and administration of bank workers.
  • Drafting and issuing offer letters, contracts and onboarding documents.
  • Coordinating welcome inductions for new starters.
  • Scheduling probation reviews and ensuring relevant paperwork is completed and processed.
  • Maintaining up-to-date and accurate data in the HRMIS (including starters, leavers, and contract changes).
  • Playing a key role in the effective use and continuous development of the newly implemented HR system.
  • Liaising with Payroll to ensure timely and accurate processing of employment changes.
  • Recording and monitoring sickness absence, issuing self-certs and supporting managers with fit note information.
  • Completing external reference requests.
  • Assisting with policy updates and employee relations matters.
  • Carrying out routine HR administration and supporting ad hoc project work.

About You

You are someone who takes pride in delivering high-quality work and enjoys using systems to streamline processes and improve service delivery.

Personal Qualities:

  • Tech-savvy and keen to develop strong knowledge of the new HR system.
  • Enthusiastic about improving processes and supporting digital adoption within HR.
  • Highly organised, with strong attention to detail.
  • Able to work independently and manage competing priorities.
  • Professional, confidential and committed to delivering an excellent HR service.

Person Specification

Essential:

  • Good general education (GCSE or equivalent in Maths and English).
  • Experience in a HR or recruitment-focused role.
  • Strong interest in HR systems, data accuracy and digital processes.
  • Experience managing end-to-end recruitment.
  • Good knowledge of UK employment law relating to recruitment.
  • Understanding of DBS processes and the Update Service.
  • Confident using HR databases and Microsoft Office.
  • Excellent communication skills (written and verbal).
  • Ability to maintain confidentiality and handle sensitive information.

Desirable:

  • CIPD qualification (or working towards).
  • Experience in the social care sector.
  • Experience advising on HR policies and procedures.
  • Understanding of CQC requirements.
  • Experience using social media for recruitment marketing.
  • Solid understanding of GDPR.
