A new role has arisen with our client, a Law Firm based in Central Newcastle for Legal Secretary.

You will provide secretarial and administrative support and assistance to a fee earner in the firm assisting other members of the team when required.

Duties to include, but not limited to:

  • Receive and sort incoming mail

  • Collect and deliver DX mail

  • Attend Post Office to process outgoing mail

  • Greet clients and visitors, prepare refreshments

  • Take debit/credit card payments from clients

  • Type and prepare correspondence and documents using the Company’s case management software and digital dictation system

  • Arrange meetings, book conference rooms and manage fee-earners’ electronic diaries

  • Receive and direct telephone calls, take messages and pass on in a timely manner  

  • Respond to client queries in a helpful and courteous manner ensuring the client experiences the highest quality of service possible

  • Ensure confidentiality of all the firm’s and clients’ documentation and information

  • File management including daily filing, opening, closing, storage and retrieval of client files

  • Updating and maintaining client information on internal database

  • Organise travel arrangements, book and confirm reservations

  • Prepare mail and enclosures for despatch

  • Request cheques, bank transfers and pay in cheques received

  • Photocopying, printing and other administration duties

  • Ensure tidy workstation and area at all times
