The Administration Assistant is responsible for assisting in activities to maintain the day-to-day administration of the purchasing process within Computing and Information Services and assist with its on-going development. The post holder will assist the members of CIS in the following areas:

  • Raising of purchase requests for the department

  • Receiving IT goods and accounting for all stock items

Duties of the Administration Assistant

The main duties of the post, which are undertaken under the direct supervision of the Transition Manager, are as follows:

  • Processing Purchase requisition forms and forwarding to Central Procurement and ensuring all requisitions are accurate and follow the correct procedures

  • Raising purchase requests using the Acquire procurement system

  • Preparing and  raising sales invoices using Oracle Financials

  • Maintaining a clear audit trail for the purposes of external grants/loans

  • Accepting the delivery of goods and completing Goods Received Notes (GRNs) to be forwarded to Central Procurement.

  • Checking deliveries and dealing with technical queries from suppliers or colleagues.

  • Main point of contact for all routine day-to-day queries in relation to IT requisitioning and costs

  • Responding to and resolving incidents through the Remedy (Service Desk) system, being responsible for queue management (allocating calls and changes, chasing open calls, and controlling SLA breaches) and directing or escalating support requests to the appropriate member of CIS

  • Control IT Stock items

  • General office duties including answering telephone calls, taking messages, arranging meetings, sorting incoming and outgoing mail, and delivering mail between CIS offices.

  • Any other duties as required commensurate with the role.

 

Relationships

The post holder will report to the Transition manager.

They will work directly with other members of CIS, assisting them to provide support with the day-to-day operation of the University’s Computing and Information Services. They will also liaise with a range of staff across the university, in person, by telephone and by email.

ESSENTIAL

Qualifications 

  • NVQ Diploma in Business & Administration – Level 3

Skills / Knowledge

  • Good communication skills, both written and oral

  • Able to use computer software, including maintaining and creating Excel spreadsheets and Word documents

  • Able to maintain confidentiality

  • Able to work accurately whilst achieving deadlines   

  • A hard-working, committed and flexible approach to work

  • High level of numeracy skills

  • Good standard of administrative and organisational ability

  • A Team Player - able to work within a team

  • A genuine desire and willingness to learn and develop in a finance environment

DESIRABLE

Qualifications

  • Two A-Level passes at Grade C or above (preferably in Maths, Computing, or Business Studies)

  • Ten GCSEs at grade C or above (incl. Maths & English)

Experience

  • Experience of working in a purchasing/procurement environment
